Position Summary
Solomon Group in New Orleans seeks a full-time Administrative. Working under the supervision of the partners, the full?time Administrative Assistant oversees and manages all office procedures and other tasks as assigned by the partners. Salary is commensurate with experience.

Specific Duties and Responsibilities:
Oversee all aspects of general office coordination.
Maintain office calendar to coordinate workflow and meetings.
Maintain confidentiality in all aspects of client, staff and firm information.
Interact with clients, vendors and visitors.
Greet visitors and determine whether they should be given access to specific individuals.
Support office meetings with hospitality (food, beverage, etc.)
Answer telephones and transfer to appropriate staff member.
Open, sort and distribute incoming correspondence, including faxes and email.
Sign for and distribute UPS/FedEx or similarly delivered packages.
Prepare responses to correspondence containing routine inquiries.
Perform general clerical duties to include, but not limited to, bookkeeping, copying, faxing, mailing and filing.
File and retrieve organizational documents, records and reports.
Coordinate and maintain records for staff, office space, telephones, parking, receipts, company credit cards and office keys.
Coordinate and direct office services, such as housekeeping.
Create and modify documents such as invoices, reports, memos, letters and financial statements using word processing, spreadsheet, database and/or other presentation software such as Microsoft Office, QuickBooks or other programs.
May conduct research, compile data and prepare papers for consideration of partners.
Set up, coordinate and prepare agendas for meetings and conferences.
Make travel, housing, and other arrangements for staff and partners.
Collect and maintain inventory of office equipment and supplies.
Research, price and purchase office supplies.
Arrange for the repair and maintenance of office equipment.
Support staff in assigned project?based work.
May supervise other support personnel.
Assists in special events, such as client development activities.
Responsible for overall perception, maintenance, cleanliness, and organization of the office.
Manage and maintain partners’ schedules and contact databases.
Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
Run errands required to complete tasks.
Other personal and professional duties as assigned by partners.
Knowledge, Skills and Abilities:
Strong computer skills – Mac, iWork, MS Office, Quickbooks.
Bookkeeping skills a plus.
Good writing, analytical and problem?solving skills.
Knowledge of principles and practices of organization, planning, records management and general administration.
Ability to communicate effectively.
Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, copiers and facsimile machines.
Ability to follow oral and written instructions.
Ability to follow-through and be self-motivated.
Must be incredibly organized and pay particular attention to details.
Minimum Qualifications:
At least three (3) years experience in general office responsibilities and procedures.
Must have strong computer skills.
Design sensibility a plus.
Knowledge of principles and practices of basic office management and organization.
Knowledge of the basic principles and practices of bookkeeping a plus.
Ability to work well either alone or as part of a team.
Evaluations:
Evaluations will be provided at 3, 6 and 12 months after your start date of employment. Subsequent written evaluations will be given annually.
