DESCRIPTION: This person shall have the lead responsibility for directing current scholarship and award programs, which shall include announcement, application, evaluation, award, and reporting activities, and shall also coordinate all activities of special programs. This person shall assume a lead role in developing and implementing effective procedures in administering grant programs, with the recognition of the need to integrate, as appropriate, programs with other NMF activities and initiatives.
RESPONSIBILITIES:
• Written Materials Preparation/Dissemination: production of written materials, including:
o All communication with applicants, Scholars, schools, review committees, program staff
o All program announcements, brochures, and flyers
o All reports (unless collaboratively prepared)
o All informational materials required for effective program implementation including orientation, guidelines, evaluation packets for students, review committees, program staff
• Information Requests: handle all telephone, email, and written inquiries for information, application status, and matters related to the scholarship process and program implementation
• Mail: process incoming/outgoing all mail/email related to program activities. As appropriate, handle the production of labels and files for bulk mail and personalized mailings
• Record-Keeping: maintain & update all records on inquiries, applicants, awardees, and aspects of scholarship process so as to be available to NMF staff
• Program Arrangements: set up schedules for program activities, and distribute all necessary program materials to relevant individuals in a timely manner
• Student Database Update: undertake data entry and update of student records in NMF computerized Database System, working with Raiser’s Edge and online application system.
• Other: assist in NMF overall projects such as Galas, Board meetings, newsletters, and alumni appeals, & others as directed by NMF President & CEO
QUALIFICATIONS:
• Knowledge of scholarship and other academic program operations including financial aid process
• Prior experience with higher education financial aid and and/or admissions process
• Proficiency with Microsoft programs including Word, Excel, PowerPoint, and Access; and Adobe
• Knowledge of database &website management. Previous Raiser’s Edge experience strongly preferred
• Excellent written and verbal communication skills. Fluency in a language other than English is preferred
• Ability to interact with others, work independently, and multi-task to accomplish all work in a timely manner
REPORT: This person shall report to the Program Director and work closely with the Chief Operating Officer to assure timely efficient and compliant scholarship processing.
