Job overview:
Primary duties include receptionist duties and light clerical: answer phones and receive visitors; prepare FedEx and other packages for mailing; maintain office calendars, make travel arrangements and schedule meetings; distribute incoming mail and drop off outgoing mail; maintain office files, contact lists and databases; prepare correspondence to vendors and clients as requested; keep inventory of office/computer/kitchen supplies; contact computer consultant to troubleshoot technology issues, plan firm-sponsored events, both in-house and out-of-office undertake small graphic design projects, on occasion. Other duties assisting Business Manager: reconcile weekly media invoices and payments to media outlets; code and enter vendor invoices for payment; maintain client and vendor files; send out accounts payable.
