GENERAL NARRATIVE DESCRIPTION OF POSITION:
The Resource Development Coordinator provides professional support. This position is responsible for maintenance of the database utilizing Raiser’s Edge software and developing and maintaining strategies for receiving, accepting, disbursing, and acknowledging major gifts. The coordinator will support all development initiatives through management of the donor database, providing full oversight for tracking all resources including donations, pledges, gifts, in-kind support and cultivation activities. In addition to database management, this position serves as the primary researcher for the development department providing key information and links to individuals, businesses and groups. This position is a major contributor to the department’s cultivation, outreach and decision-making process.
ESSENTIAL JOB FUNCTIONS:
•Maintains records and database information on prospective, past and current donors
•Acknowledges contributions and gives recognition to major donors
•Aids in composition and preparation of correspondence and reports for the Development Office
•Handles confidential information related to Resource Development and Foundation donors
•Manages foundation records and maintains resource development office filing system
•Accomplishes other tasks as may be required and assigned by the CEO and Development Director
SPECIFIC DATABASE RESPONSIBILITIES
Key responsibilities include managing the database, overseeing offline and online gift processing and reporting, providing demographic and data reports, and working with the Development department to support new initiatives and special projects.
The individual is responsible for management and operational oversight of the Raiser’s Edge database including:
•Determine and analyze the database needs of the Development department and providing support to all users
•Enforce data entry guidelines to ensure data quality and consistency and provide input on improving processes as needed
•Coordinate and oversee the training of select staff for Raiser’s Edge support and data entry
•Manage batch review and validation process for all gifts
•Serve as liaison with Blackbaud to ensure proper execution of database tasks and best practices
•Execute queries, imports, and exports of data for analysis and all fundraising efforts including information requested by contracted direct mail company
•Maintain accurate coding in Raiser’s Edge to ensure tracking of all appeals and cultivation activities; ensuring that all forms of outreach and communication is tracked accurately and appropriately
•Provide oversight of all funding awards to ensure proper tracking, updates and maintenance of organization-wide development activities with timely updates in Raiser’s Edge. Maintain file copies of all awards
•Work with Controller to reconcile Raiser’s Edge with general bank ledger, fund balances and fundraising reports
•Protect and maintain the confidentiality of all donor records and information in accordance with internal policies and privacy laws
•Track all grants and contacts in Raiser’s Edge; maintaining hard copies of all gifts and grant activities
•Maintain a calendar of reporting deadlines and other follow-up in Raiser’s Edge
•Identify prospects for wealth and asset assessments using Raiser’s Edge and other indicators
•Coordinate stewardship process to ensure proper planning and follow-up
EDUCATIONAL REQUIREMENTS:
Bachelor’s degree in Business Administration, Communications, Public Administration or related field preferred, job related experience will be taken in to account. Any advanced degrees, specialized training, or certification in development field is a plus.
REQUIRED KNOWLEDGE, SKILLS, AND PERSONAL QUALIFICATIONS
•Proficient in Raisers Edge software and development of related business practices
•Possesses excellent communication skills (writing, spelling, listening, and speaking)
•Possesses problem-solving and decision-making abilities
•Ability to work without close supervision and in nontraditional office settings
•Must be able to work effectively with a wide variety of organization and employees as a team player
•Ability to handle multiple time-sensitive tasks simultaneously in a fast paced environment
•Utilizes good management techniques
•Follows through to completion of assigned tasks
•Values community, brings a spirit of enthusiasm and energy and multi-cultural awareness
•Computer literate in Microsoft Windows, Office applications, Internet, and presentation software
•Demonstrates knowledge and good judgment in matters of organization policy and procedures
